Understand Your Result

The calculator uses three basic figures to produce your result.

Utilization rate

Utilized Hours ÷ Available Hours × 100

Example: 128 ÷ 160 × 100 = 80%

Remaining capacity

Available Hours − Utilized Hours

Example: 160 − 128 = 32 hours

Target variance

Actual Utilization − Target Utilization

Example: 80% − 80% = 0 percentage points

The result tells you how much of the available capacity was used for the work included in your calculation. What qualifies as “utilized” depends on your organization's reporting method.

Resource Utilization Formula

The standard calculation is:

Resource Utilization Rate = (Utilized Hours ÷ Available Hours) × 100

For example, if 135 hours were utilized out of 160 available hours:

135 ÷ 160 × 100 = 84.375%

The utilization rate is approximately 84.38%.

To find the remaining capacity:

Remaining Capacity = Available Hours − Utilized Hours

160 − 135 = 25 hours

This calculation is simple, but the quality of the result depends on how accurately you define available and utilized time.

Billable, Productive, and Overall Utilization

Your utilization rate depends on which hours you count as utilized.

Billable Utilization

Measures client-chargeable time.

Formula: Billable Hours ÷ Available Hours × 100

For example, 120 billable hours out of 160 available hours equals 75% billable utilization.

Productive Utilization

Includes work that contributes to business output, such as internal projects, research, support, or development. Define what counts as productive work before comparing results.

Overall Utilization

Covers all hours your organization considers utilized, including both client and approved internal work. Use the same definition across teams and reporting periods.

What is a Good Resource Utilization Rate?

There is no universal target. The right percentage depends on the role, industry, workload, and non-project responsibilities.

An 80% target may work for some professional services teams, but managers should set targets based on actual role requirements and expected capacity.

Resource Utilization Mistakes to Avoid

Frequently Asked Questions

What is a resource utilization calculator?

A resource utilization calculator compares utilized working hours with available capacity to produce a utilization percentage.

What is the difference between utilization and capacity?

Capacity represents the available working time. Utilization measures how much of that available time is being used for a defined category of work.

Can utilization be more than 100%?

Yes. A result above 100% can occur when utilized hours exceed the capacity used as the denominator, such as when overtime is included. If this happens unexpectedly, review the capacity and time records to make sure the inputs are consistent.

Does utilization include meetings?

It depends on your organization's definition. If meetings are considered utilized or productive time, they can be included. If your calculation measures billable utilization, ordinary internal meetings would not be included as billable hours.

Should employee leave be included in available capacity?

That depends on how your organization defines capacity. If approved leave represents time when the employee was unavailable to work, it may be appropriate to exclude those hours from available capacity.

Is 80% resource utilization good?

80% can be a useful benchmark for some teams, but there is no universal ideal rate. The appropriate target depends on the role, business model, workload, and amount of non-billable work involved.

Why is my team utilization different from the average of individual utilization rates?

Individual resources may have different amounts of available capacity. A team-level calculation based on total utilized hours divided by total available hours weights each resource according to their actual capacity.

How can I track the hours used in my utilization calculation?

You can use time tracking platforms such as Apploye to record working hours against projects and tasks. Apploye provides timesheets, project time tracking, and reports that help managers review actual time records.

Can Apploye help with resource planning?

Apploye provides project and task time tracking, project budgets, time reports, and project progress information that can help managers understand where team hours are being spent. This information can support project planning and resource allocation.
